  • Stress on the reason for leaving

In this case, the letter will state that the reason for leaving is an illness in the family. So remember to mention the reason clearly, and also clearly outline a quick addition to your responsibility, which will be as a result of this Illness of a family member. Do not assume that the employer will understand your obvious responsibilities, state them. This will help him/her understand the reason for leaving your job. If you wish to rejoin the same company in the near future, clarity will be helpful for that purpose too.

  • Show your appreciation for the time you have worked and everything you have learned

To leave a job in circumstances like ‘illness’, it is importance to consider that you might want to return to the same post after this particular storm has passed in your life. So make sure you remind your employer of your gratitude and learning you did during your time at the job. Keep a door opened for yourself by showing how much this job will be missed and the great significance it had in your life. However, do not oversell, remain subtle about it.

  • Be brief and come to the point

Keeping the letter brief is very important, do not go on and on like its story you have written. Get to the point fast. After the employer finds out you are resigning, the only thing next he will be scanning in your letter is the reason for leaving, and when exactly do you plan on stop working. Do not make him wait for it, it should be fairly obvious when do you plan to stop working, and why is it exactly that you decided to quit. Long letters of resignation are not recommended, but too short is just considered rude, keep a balance and communicate in a professional and respectful manner.

  • Offer your help

When you are resigning on short notice or no notice, your post will be empty. This will increase the workload at work and put your company at an inconvenience, at least for a few weeks. The training of the new employee, helping him/her understand the ropes of the new job, is all the things you can offer to your employer as a favor and as help. Some tips to remember:

  • Do not vent!

The resignation letter is no place to take out your frustration. Even if you hated your job or your co-workers, or you hated the industry that you worked in, do not vent in your resignation letter. These things have a way of finding you later in your career. Think about it, this letter will go permanently in your employee file; every potential employer can have excess to it. This can destroy one’s reputation in the market, and the next employer will be very put off by the idea that you were trashing your previous employer in your letter of resignation.

  • You will need their reference!

After this job you will apply to other jobs and you will need a reference letter from your previous boss. This means that you need to handle your letter of resignation very delicately. You cannot trash your place of employment or your co-workers, using foul language and being unprofessional is absolutely not acceptable. While you are writing the letter, no matter how tempted you are to slam co-workers or the company or the boss, just remember you are at their mercy for a good reference, just because you are leaving, does not mean you are ‘free’.

  • Stay focused

The letter needs to look organized and focused. You should plan ahead on what you are going to say, how each paragraph is going to look like and where will the reason be told, where will the news of resignation be conveyed. The idea is to come across as focused on the task at hand, which is to inform the employer that you are leaving, the reason the for leaving and your official statement of two week’s notice. The best way to accomplish this is by making drafts of the letter and having someone in the industry proofread it for you, but not your co-workers!

  • Provide information not a story

The letter of resignation needs to provide information to the employer that jumps out, what it does not need to be is a story of your journey at the workplace, how you started out and your dreams came true and how it is coming to an end and its time to ‘move on’. The letter should not be full of emotional and oversentimental dialogues and stories.   • Be formal and professional

No letter of resignation should ever sound like causal conversation between two people. It is a matter of business and goes in to an employee file, and it should be handled as such, in a professional and formal manner. It cannot be personal goodbye letter for the company and its employee to read it someday. So remember, exercise tact but also do not feel ‘bad’ for remaining formal and to the point that is just what is required of one when handing in their resignation letter.

  • Always give notice

There are some resignation letters that call for the immediate termination of the employment. This of course puts the employer in bit of a hassle, because he needs to fill your position and that takes time and proper consideration. If you do not give your required two-week’s notice, you will leave your place of employment in a very negative light, the workload because of you will pile up and the everyone will know who to blame. You may think it should not matter to you as you are leaving anyway, but do not forget, it’s a small world, your current boss can end up becoming your future boss, and they might remember a thing like that. Plus, that all important reference letter or call for reference, it is in fact your previous employers who can provide that.

As we have discussed above how a resignation letter needs to be organized, it needs to be direct and precise and the information needs to jump out for the employer so it quickly catches his eyes. After keeping these tips in mind, another important tip is to sequence the letter just write. The first paragraph should state the business all too quickly, for example how this letter is a letter of resignation, state your post and also state when will you be leaving. After this, immediately divert the attention of your employer to reminding him how much you appreciate your time at the company, and how much you have learnt. Slowly come to the reason following this, but never drag on. When submitting your resignation letter it is paramount that you stick to keeping it mainly to the point. It is a very good idea to clear out your desk and the computer of anything personal, before you go and hand over your letter of resignation.
